We are seeking an office manager to help ensure the smooth running of our office. Your role will be to create and maintain a pleasant working environment, to organise and coordinate administrative duties and to maintain and communicate office policies. Your responsibilities will include managing the on-boarding process for new employees, liaising with suppliers to arrange delivery and payment, scheduling meetings and appointments, greeting visitors and providing general administrative support to our employees. Given the nature of the role, strong interpersonal and organizational skills are extremely important. Previous experience in a similar role, particularly in an early stage start-up, would be a particular advantage.

Responsibilities

  • Serve as the point person for office manager duties
  • Schedule meetings and appointments
  • Organize the office layout and order stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • Formulate and maintain office policies as necessary
  • Organize office operations and procedures
  • Ensure that all items are invoiced and paid on time
  • Provide general support to visitors
  • Manage the onboarding process for new hires
  • Address employees queries regarding office management issues (e.g. stationery, hardware and travel arrangements)
  • Plan in-house or off-site activities, like parties, celebrations and conferences

Requirements

  • Proven experience as an office manager or administrative assistant
  • Strong interpersonal skills
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in email and standard office software
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills in English
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
